Problems

How do I record subscriptions paid for a year in advance?

Short answer

Under accrual accounting, a material annual payment may be recorded as a prepayment and expensed over the covered period. Cash-basis and tax treatment can differ, so use an agreed accounting policy.

Detailed answer

Match cost to the service period

Identify the dates covered by the subscription or insurance policy and whether any setup charge relates to a separate service. An annual payment near year-end can materially distort one month's expenses if recorded entirely on payment. Keep the invoice and use a prepayment schedule where spreading the cost is appropriate.

Review the schedule monthly

Release the relevant amount to expense each period and reconcile the remaining balance to future coverage. Update the schedule for cancellation, refunds or changes in the contract. Avoid applying accrual adjustments inconsistently just to smooth profit. Ask your accountant to confirm materiality and the tax treatment rather than assuming the financial-reporting entry decides the deduction date.
