How can I prevent duplicate transactions from bank feeds and receipt apps?
Short answer
Use one agreed entry workflow and match bank-feed lines to existing invoices, bills or expenses. Adding a new expense for a payment already recorded by a receipt app can double-count the cost.
Detailed answer
Define which system creates the entry
Decide whether a receipt app creates a bill, an expense or only attaches evidence. Likewise, an e-commerce connector may already post sales summaries before the bank receives the payout. Map the workflow so each economic transaction is entered once, and use clearing accounts for settlement timing rather than recording the net bank receipt as another sale.
Investigate before deleting
Search by amount, date and supplier and compare entries with supporting documents. Check whether one item is an unpaid bill and another is its payment, not a genuine duplicate. If a duplicate was reconciled or included in a return, get advice before removing it. Review integration start dates and bank rules to prevent the same error recurring.
