Non-cash business exchanges · AU

How should an Australian business record a barter exchange when no money changes hands?

Short answer

Document and record both sides of the exchange rather than leaving it out because there is no bank payment. Agree a supportable value, identify what each party supplied and use a documented settlement process. Ask your adviser to confirm valuation, recognition and GST treatment.

Detailed answer

Document the two supplies and their agreed value

Suppose a photographer provides product images to a signwriter in exchange for new studio signage. Keep a written agreement describing each deliverable, its agreed value, delivery date and any cash difference payable. Retain evidence supporting the valuation, such as normal quotations for comparable work, rather than choosing a number solely to make the exchange balance. Each business should provide appropriate documentation for its own supply. The signage may need different accounting treatment from an ordinary advertising expense, so identify what was actually acquired. The absence of cash does not determine whether revenue, an expense, an asset or a tax consequence arises.

Settle the balances without inventing a bank transaction

Once recognition and valuation are confirmed, record the sale and purchase separately using the relevant customer and supplier records. Where the parties have agreed to offset amounts, document that agreement and use an appropriate clearing process to settle the corresponding balances. Do not create a receipt in the real bank account when no money arrived. If one party owes a cash difference, keep that portion outstanding until it is paid. Review any barter clearing balance after settlement: unexplained amounts can indicate missing documents, unequal values or incomplete delivery. Have your Australian tax adviser check GST treatment separately from the bookkeeping settlement.
